Adding Users through Search
In this mechanism, new users are found in an identity provider by search and then added to Pyramid, rather than through manual data entry.
Search is done by using individual details or as a group. If by group, admins can select a sub-set of those users and assign them all the same rights and roles in Pyramid. For example, making a set of users that you had in an "admin" group on your authentication provider into Pro users with the Admin Type Domain Admin. Use this process to add multiple users in one step.
This functionality is currently only supported where the authentication provider supports it and user provisioning has been enabled. For the other authentication providers, use single user add or import.
Tip: An alternative process to adding your users using this search facility, is to set up the automated provisioning process. This can be scheduled to pull user details from the Authentication Provider at regular intervals. For more information, see Auto Provisioning Jobs.
Add Users from a search
You can add users using the Admin Console:
- In the left-hand menu, select Access > Users.
- From the buttons at the top-right of the page, select the "add" option you require:
The Users page opens, showing the current User List in the main body of the page.
Search panel
If your Authentication Provider is Active Directory, Azure Active Directory, Open LDAP, or SAML or OpenID where Provider Provisioning Settings are configured, you will see the following Search panel when you click New User:
Note: If you see an Add User form in place of the preceding Search panel, that is because your authentication provider requires that you use the alternative Add Users process. For details of that process, see Adding or Editing Users Manually.
Creating multiple users using a search
To search for a new user or set of users in the Authentication Provider:
- Use the Search Bar (green highlight above) to build your search:
- If enabled, select the Domain that your user or group belongs to.
- Use the Search by options to specify whether you want to Search Users (by Username or Principal Name) or Search Group (by Group Name).
- Select the appropriate Term, or "search operation," for your search. This can typically be Exact, Starts with, or Contains.
Note: In Google, Search Users searches for users by email and requires more than two letters. Also in Google, Search Group does not support the term Contains.
- Type a string into the search field and click Search (orange arrow) to run your search.
- Select the users to add to Pyramid:
- To add one specific user or group, click its blue Plus symbol (purple arrow).
- To add multiple users or groups, use the checkboxes to select them (yellow highlight) and then click the right-pointing arrow (blue arrow) to add them.
- In the User Settings panel (blue highlight) make the "common" selections that will apply to all selected users:
- Admin Type:Pro only. You can select one of the admin types Enterprise Admin, Domain Admin, or None (if you do not want your user to be an administrator). For more information, see Admin Rights.
- Tenant: Select the tenant to add the user or users to. For more information, see Tenant Management.
- Profile: Select the profile to use for this user's experience (not relevant to administrators or Basic users). For more information, see Profiles.
- Click Continue to Edit Roles to go to the Edit Roles panel and assign the selected users to the relevant roles.
Any unassigned users or groups that satisfy your search criteria are shown in the left-hand panel.
When you move a group from the Unassigned panel (on the left) to the Assigned panel (on the right), it is the users from that group that get shown in Assigned panel.
Edit Roles
The unassigned roles (created manually or using an import) are shown in the left-hand panel:
- To assign one specific role, click its Blue Plus symbol (orange arrow).
- To assign multiple roles, use the checkboxes to select the roles you want to assign (green arrow) and then click the right-pointing arrow (yellow arrow) to assign all of the selected roles.
Tip: You can "unassign" roles in the right-hand panel using the Minus symbol or checkboxes and left-pointing arrow.
Save
Click Save to add the users to Pyramid.
What next?
Since this process created a bulk set of users with similar settings, you might want to edit some details straight away. For example:
- You might want to set secondary user details, Second phone, Proxy Account 1, Proxy Account 2, or Language. These are Pyramid values and are not set for your users by default.
- You might want to limit the Access Rights for your Domain Admins. By default, Domain Admins are granted access to all relevant areas of the Admin Console at their tenant, you can edit your Domain Admin details to give them admin rights for specific areas of the Admin Console.
- Click here for more information about editing individual users
Alternative processes
- To add users in bulk, you could click Import (green arrow) and import a list of users as a CSV file. For more details, see Importing Users using the Admin Console.
