Find and Replace in Tabulate

Find and Replace is a powerful tool that allows you to search for specific data (numbers, text, and formulas) within a sheet or across all the sheets in your workbook. You can see all results, jump directly to your match, and replace results with other values singly or all at once. This tool helps you to quickly locate info, correct errors, and update your data without having to scan rows and rows of data manually.

The Find and Replace dialog is very similar to the same function in other tools, such as Microsoft Excel.

Finding and Replacing Text

Access the Find and Replace dialog

From the Tabulate ribbon:

  • Click Find & Replace.
  • The Find & Replace dialog opens.

  1. Type the text you want to find into the Find what field.
  2. If you are replacing that text, type the replacement text in the Replace with field.
  3. Optionally, use the Options to configure your search. Choosing your search scope, how to search, where to look, and match criteria.
  4. Run your search or replace.

Find

The simplest use of the Find and Replace tool is to type the text you want to find in your spreadsheet into the Find what field and run the search.

Options

Click Options (orange arrow above) to open the advanced options for your search:

  • Within: Indicates the scope of your search. You can return results either from the current Sheet or from all sheets in the current tabulation.
  • Search: Describes how Tabulate should traverse the grid when searching. By Rows scans each row left to right, moving on to the next row top to bottom. By Columns scans the grid vertically down each column, moving on to the next column from left to right.
  • Look in: Specifies which part of the cell contents to examine. Selecting Formulas searches within the formula text (as an example, you would select this option to search for every cell containing =SUM). Selecting Values searches the displayed result.
  • Select the Match Case checkbox to make your search case-sensitive and ensure that you only match strings where upper- and lower-case characters are exactly as described in the Find what field.
  • Select the Match entire cell content checkbox to make a match only where the Find what string matches the entire content of a cell and not just part thereof. Some tools include a similar functionality called "whole word" but this is not just an exact match of a word, everything in the cell must match.

Replace

The simplest replacement option is to type the text you want to replace your search term with into the Replace with field and run the replace action.

Run

The options along the bottom of the panel either run your search or close the dialog without running it:

  • Replace All: Replace all instances of the Find with term with the Replace with term.
  • Replace: Replace one instance of the Find with term.
  • Find All: Return all of the instances of the Find with term in the Find All Results panel at the bottom of the dialog. Click a row to jump to the selected instance in the spreadsheet.
  • Find Next: Locate the next instance of the Find with term, given the current position of your cursor and the Search selection (above).
