Reviewing and Approving Share Requests

Administrators are notified by email when artifacts are shared and require approval. These emails are sent twice daily to ensure timely action. Admins can either approve or deny the share in the Share Manager, where they can also decide whether to grant access by "direct link" or by assigning appropriate roles.

What does the notification look like?

The notification email is customizable, but typically includes a table listing all recent sharing requests along with their current status:

Taking Action

You need to take the following action:

  1. Review the Table: As you can see above, each row shows a shared item, who shared it, who it is shared with (the recipient), and its current approval status (which is typically one of Pending or Approved).
  2. Authorize the Share: You need to open the Share Manager, select any Share Requests, and either Authorize or Deny the share.

What happens next?

When you approve the share:

  1. If the user did not exist previously in Pyramid, they are created as a user with the user type defined in configuration and invited to "onboard." The onboarding email instructs them as to how to proceed.
  2. If the user already existed in Pyramid, they are granted access to the shared email. This user is sent a recipient email that instructs them as to how to proceed.
